What Keylog is for
Keylog is a shared logbook for physical keys โ room keys, vehicle keys,
padlocks, cabinets. It records who took a key, when they took it, and when
they returned it, so at any moment you can see which keys are out and who is
holding them.
For everyone โ the counter
Enter your email
- Open the Counter page.
- Type your email (and optionally your name) and press Continue.
- Your email is remembered on this device and tags every key you take or return.
Use Change in the top bar to switch email.
Take a key
- Find the key you need. The card shows how many copies are free, e.g.
2 of 3 available.
- Press Take key, add an optional purpose or return time, and press
Confirm.
- One copy is tagged with your email and the exact take time, and the count of
available copies drops by one.
Return a key
- A key you are holding shows (you) in the holder list and a
Return key button.
- Press Return key, add an optional note, and press Confirm.
- Your copy goes back into the available count and the return time is recorded.
A copy can only be returned with the same email that took it. Every
person currently holding a copy is listed on the card as
Key Taken By: their-email, so you know who to ask. You may hold only one
copy of the same key at a time โ return it before taking another. When every copy
is out the button reads Unavailable. A copy held past its promised time is
flagged Overdue in red.
For the admin
Sign in on the Admin page with your Stock Check admin account (email
and password). Only accounts on the admin list can open the admin tools; everyone
else sees a "not an admin" message.
Currently out
A live list of every key that is out, the holder's email, purpose and due time.
Press Force return to close an entry if someone forgot to return it.
Transaction log
The complete history, newest first, as Key ยท User Email ยท Action ยท Date ยท Time.
Every take and every return is its own row. Filter by key, email or action, and
press Export CSV to download the whole log for reports or audits.
Keys
- Add key โ register a new physical key with a code (e.g.
KEY-006),
name, location, description and key quantity.
- Edit โ fix a name or location, or change the key quantity. Quantity
is how many identical physical copies of that key exist: set it to 2 and two
different people can hold the key at once. It cannot be set lower than the
number of copies that are out right now.
- Retire / Restore โ hide a key that is no longer in use (it stays in
history) and bring it back later.
- Delete โ remove a key permanently. A key that already has transaction
history cannot be deleted (to protect the audit trail) โ retire it instead.
Good to know
- A key can be held by as many people at once as it has copies (its quantity).
Once every copy is out the system blocks the next take, and one person can
never hold two copies of the same key.
- Every action gets an entry number like
KL-2026-0001.
- The counter refreshes automatically every 15 seconds.
- Signing in is required to take or return a key; the take time, return time and
your email are always saved.
